Transcript & Publication Consent

1. Purpose of This Consent
Star Trek: Uncharted Course is a live roleplaying and collaborative-writing project built around the continuing adventures of the USS Navigator.
An important part of the project is the creation of a permanent public story archive. This may include:
- reviewed transcripts of live missions;
- personal logs;
- joint posts;
- character biographies;
- personnel files;
- mission reports;
- artwork;
- character portraits;
- and other approved creative material.
This document explains what may be recorded and published, how contributions may be edited and presented, what information will remain private, and what rights you retain over your original work.
Please read it carefully before agreeing.
2. Who This Consent Applies To
This consent applies to people who:
- participate in live missions;
- contribute in-character messages to designated mission channels;
- submit personal logs or joint posts;
- provide character biographies or personnel information;
- submit artwork or character portraits;
- or otherwise provide material for publication through Star Trek: Uncharted Course.
The project accepts participants only from people aged 18 or over.
3. What May Be Recorded
During live missions, messages posted in the designated in-character mission channel may be captured and retained for transcript preparation.
This may include:
- character dialogue;
- character actions;
- communications between characters;
- Game Director narration;
- descriptions of mission events;
- interactions with supporting characters;
- and other in-character contributions forming part of the episode.
The project may also retain administrative information needed to prepare the archive, such as:
- the mission title;
- mission number;
- calendar date;
- stardate;
- participating characters;
- character ranks and positions;
- and the order in which contributions were posted.
4. What Is Not Intended for Publication
The following material is not normally intended to appear in a public mission transcript:
- ordinary out-of-character discussion;
- private Discord messages;
- personal contact details;
- email addresses;
- Discord usernames;
- legal names, unless separately agreed;
- technical troubleshooting;
- accidental posts;
- moderation discussions;
- private application information;
- and personal information unrelated to the fictional story.
Members should nevertheless avoid placing unnecessary private information in any live mission channel.
Where private or out-of-character information is posted accidentally, reasonable efforts will be made to remove it before publication.
5. Public Identification
Published material will normally identify you through your fictional character rather than your private personal identity.
A published transcript or story may display:
- your character’s name;
- rank;
- position;
- division;
- dialogue;
- actions;
- approved portrait;
- biography;
- service history;
- and links to related stories.
Your legal name, private email address and Discord username will not normally be published.
You may choose to receive a public writing credit under:
- your character name;
- a chosen display name;
- a pen name;
- or another agreed form of credit.
The project may retain your legal or preferred personal name privately for administration while using only your approved public credit on the website.
6. Transcript Review and Editing
Raw live-mission text may be reviewed before publication.
The review process may include:
- removing accidental duplicate messages;
- removing out-of-character interruptions;
- correcting obvious spelling errors;
- correcting punctuation;
- standardising character labels;
- applying consistent formatting;
- adding paragraph breaks;
- adding scene headings;
- identifying speakers clearly;
- correcting obvious technical display problems;
- and arranging material into a readable transcript.
Minor editorial changes may be made without contacting every participant individually.
The purpose of editing is to improve readability and remove material that was not intended to be part of the fictional story.
Editing should not materially change:
- what your character said;
- what your character attempted;
- the meaning of your contribution;
- an important decision;
- the outcome of a scene;
- or the established chronology of the mission.
Where a substantial change is proposed, the affected participant should normally be consulted.
7. Game Director Narration and Supporting Characters
Game Director messages, mission narration and authorised supporting-character contributions may be included in published transcripts.
The Game Director may add limited contextual material where needed, including:
- a scene introduction;
- a location heading;
- a transition between scenes;
- a short explanation of an interruption;
- or a closing note.
Any added material should support the original mission record rather than rewrite the choices made by the participating crew.
8. Personal Logs and Individual Stories
Personal logs and individual stories may be published when they have been submitted or approved for inclusion in the project.
Before publication, they may be reviewed for:
- spelling;
- grammar;
- formatting;
- continuity;
- consistency with the character profile;
- suitability for the public website;
- and compliance with the Community Standards.
You remain responsible for ensuring that the material you submit is your own work or that you have permission to use it.
The project is not required to publish every submitted story.
9. Joint Posts and Collaborative Stories
A joint post is created by two or more participants.
By approving a joint post for publication, each contributor agrees that the completed work may be:
- stored;
- formatted;
- published;
- linked to the relevant characters;
- linked to the relevant mission;
- and retained in the project archive.
Each contributor retains their rights in their own original contribution.
Depending on how the material has been written and combined, the completed work may also involve joint authorship. UK copyright legislation recognises jointly authored work where authors collaborate and their contributions are not distinct.
No participant should publish another contributor’s unpublished material elsewhere without their permission.
10. Character Biographies and Personnel Files
Approved character information may be published as part of a public personnel file.
This may include:
- character name;
- species;
- date and place of birth;
- age;
- rank;
- position;
- department;
- biography;
- service history;
- qualifications;
- medical information belonging to the fictional character;
- psychological information belonging to the fictional character;
- awards;
- mission appearances;
- and approved character artwork.
Players should not include unnecessary real-world personal information within a fictional character profile.
The project may edit or withhold character information that:
- reveals private information about a participant;
- conflicts with established continuity;
- infringes another person’s rights;
- or is unsuitable for public publication.
11. Character Portraits and Artwork
By submitting or approving a character portrait or other artwork for publication, you confirm that:
- you created it;
- you have permission to use it;
- it was generated or edited using a service that permits the intended use;
- or its source and usage rights have been clearly disclosed.
You should disclose when artwork:
- was generated using artificial intelligence;
- was commissioned from another artist;
- uses an identifiable real person;
- is based substantially on an existing photograph;
- or includes third-party copyrighted material.
The project may refuse or remove artwork where its origin or permitted use is uncertain.
12. Ownership of Your Original Work
You retain ownership of the original writing, artwork and character material you create, subject to any rights belonging to third parties.
Copyright protection in the UK normally arises automatically when an original qualifying work is created; registration is not generally required.
This consent does not transfer ownership of your original work to Lee Tyers or Star Trek: Uncharted Course.
No participant gains ownership of existing Star Trek characters, settings, terminology, designs or other intellectual property through participation in the project.
13. Permission Granted to the Project
By submitting material for publication, you grant Star Trek: Uncharted Course a:
- non-exclusive;
- worldwide;
- royalty-free;
- continuing
permission to use the submitted material for the operation, presentation, preservation and promotion of the non-commercial project.
This permission includes the right to:
- store the material;
- reproduce it;
- format it;
- publish it on the project website;
- include it in mission archives;
- display it on character pages;
- connect it to relevant missions and characters;
- reproduce short extracts in project announcements;
- create reasonable website previews or thumbnails;
- and preserve it in backups and historical records.
“Non-exclusive” means that you remain free to use your own original work elsewhere.
“Royalty-free” means that the project does not owe payment for the agreed non-commercial use of the contribution.
This permission does not authorise the commercial sale of your original contribution without a separate agreement.
14. Promotional Use
Published contributions may be promoted through the project website, Discord community or project-controlled social-media accounts.
Promotional use may include:
- a short extract from a story;
- a mission quotation;
- a character portrait;
- a mission poster;
- a website preview image;
- a link to the published contribution;
- or a short description of a mission or character.
Promotional use should remain connected to Star Trek: Uncharted Course and its non-commercial activities.
Private application details and contact information will not be used for promotion.
15. No Guarantee of Publication
Giving consent does not guarantee that any particular contribution will be published.
Material may be:
- held for later publication;
- returned for revision;
- combined with related material;
- declined;
- removed before publication;
- or withheld because of continuity, quality, privacy, safety or legal concerns.
The Game Director retains editorial responsibility for the public archive.
16. Publication Timing
Mission transcripts may not be published immediately after a live session.
Time may be required for:
- transcript review;
- removal of OOC material;
- corrections;
- formatting;
- contributor queries;
- related artwork;
- and website preparation.
No fixed publication deadline is guaranteed.
17. Accuracy and Corrections
You may contact the Game Director if published material:
- attributes words to the wrong character;
- materially misrepresents your contribution;
- contains inaccurate personal information;
- displays an incorrect public credit;
- or contains private information that should not have been published.
Reasonable factual or attribution errors will be corrected where possible.
Data-protection law may also provide a right to request correction of inaccurate personal data.
Requests to change a fictional event simply because a participant later dislikes the character’s decision will not normally result in the historical transcript being rewritten.
18. Withdrawing Consent Before Publication
You may withdraw publication consent for an unpublished individual contribution by contacting the Game Director before publication.
Where practical, the material will then not be published.
For collaborative material, withdrawal may require discussion with the other contributors because their work may be connected to yours.
Possible solutions may include:
- removing your unpublished contribution;
- rewriting the affected section with agreement;
- cancelling the joint post;
- or publishing only the independently usable contributions of the remaining writers.
Consent should be as easy to withdraw as it was to provide.
19. Withdrawing Consent After Publication
You may contact the Game Director to request that future publication or use of your personal information or creative work be reconsidered.
A request may result in:
- removal of private identifying information;
- replacement of your personal credit with a character-only credit;
- correction of inaccurate information;
- removal of an individual story;
- removal or replacement of artwork;
- restriction of future promotional use;
- or another reasonable solution.
Already published collaborative mission material may be difficult to remove completely because it may contain the interconnected contributions of several participants.
A request for complete removal will therefore be considered case by case, taking into account:
- applicable data-protection rights;
- your copyright interests;
- the rights of other contributors;
- the integrity of the mission record;
- whether the material can be separated;
- and whether anonymisation or reduced identification would adequately address the concern.
The right to erasure is not absolute and applies only in certain circumstances. Requests must nevertheless be considered and answered appropriately.
20. Leaving the Project
Leaving Star Trek: Uncharted Course does not automatically remove previously published mission transcripts or stories.
After departure:
- your private contact details will be reviewed under the Privacy Policy;
- your character may be marked transferred, retired, inactive or otherwise departed;
- previously published appearances may remain in the archive;
- future active use of your principal character will normally stop;
- and future publication of unpublished individual material will normally require further discussion.
Previously published mission material may continue to identify the fictional character as part of the historical record.
A former participant may ask for their public personal credit to be removed or replaced with a character-only credit.
21. Use of a Former Player’s Character
The Game Director will not normally continue writing a former participant’s principal character as a major recurring character without permission.
Where needed for continuity, the project may use a minimal reference explaining that the character:
- transferred;
- resigned;
- retired;
- took leave;
- was reassigned;
- or otherwise left active service.
Previously established historical facts and published appearances may continue to be referenced.
A former player’s character should not normally be substantially changed, killed or converted into a major non-player character without permission.
22. Private and Sensitive Information
Consent to publication of fictional material is not consent to publish private real-world information.
The project will not intentionally publish a participant’s:
- home address;
- telephone number;
- private email address;
- private Discord username;
- financial information;
- health information;
- employment information;
- private family information;
- or another sensitive personal detail
unless the participant has separately and explicitly requested publication and publication is considered appropriate.
If private information appears accidentally in a mission channel or submission, notify the Game Director promptly.
23. Separate Data-Protection Consent
This publication consent works alongside the Privacy Policy.
It does not replace the project’s responsibilities under UK data-protection law.
Where the project relies on consent to process personal data, consent must be:
- freely given;
- specific;
- informed;
- unambiguous;
- and demonstrated through a clear affirmative action.
Silence, inactivity or a pre-selected checkbox does not constitute valid consent.
Personal data may also be processed under another lawful basis where appropriate, as explained in the Privacy Policy.
24. Records of Consent
The project may retain a record showing:
- who provided consent;
- when consent was provided;
- which version of this document applied;
- what the participant agreed to;
- and whether consent was later changed or withdrawn.
This record may be stored with the application or membership record.
Maintaining a consent record helps demonstrate that consent was informed and actively provided.
25. Changes to This Consent
This document may be updated when:
- the publication system changes;
- new forms of creative material are introduced;
- the website or archive changes;
- external platforms change;
- or legal requirements require clarification.
The current version will display its latest revision date.
Where a change materially expands how contributions or personal data may be used, active participants may be asked to provide fresh consent.
General administrative or wording changes may be communicated without requiring a new agreement where the substance of the consent has not changed.
26. Your Choices
You may participate in the project only if you agree to the recording and publication required for its central live-mission archive.
However, publication choices may still be separated where practical.
For example, you may be able to choose whether:
- your legal or preferred personal name appears publicly;
- you receive a public writer credit;
- optional artwork is displayed;
- an individual personal log is submitted;
- a particular portrait is used;
- or a contribution is promoted through social media.
Mandatory participation consent should be limited to what is genuinely necessary for the project’s core format.
27. Consent Statement
By selecting the relevant consent checkbox and submitting your application, you confirm that:
- you are aged 18 or over;
- you have read and understood this Transcript & Publication Consent;
- you understand that designated in-character mission contributions may be recorded;
- you understand that reviewed mission transcripts may be published publicly;
- you understand that your fictional character may be identified in the archive;
- you understand that private contact information is not intended for publication;
- you grant the project the non-exclusive permission described above for material you submit;
- you understand that collaborative material may not always be capable of complete removal after publication;
- you understand how to request corrections or withdrawal;
- and you consent freely to the uses explained in this document.
28. How to Withdraw or Change Consent
To withdraw or change consent, request a correction or raise a publication concern, contact:

- your name or approved display name;
- your character;
- the material concerned;
- the change you are requesting;
- and the reason for the request where relevant.
Requests will be reviewed and answered as promptly as reasonably possible.
